Stage 5
Repair and close
Book the repair visit only when the job can be finished properly.
Order and follow the remakes and parts
Send the approved order, or the quote the client accepted, with item numbers, drawings, measurements and photos. Check the factory or supplier understands it. Follow the order until it is made, sent and received.
Check before you book
Check the remakes and parts for size, colour, finish, hand, hardware and damage. Make sure the client has done any work that must come first, like fixing a leak. Check you can get in and a fitter is free. Book the fitter through planning.
Brief the fitter
Give the fitter the approved work and a list of repairs. Protect the client's finishes. Take photos before and after. No extra work without approval. If the fitter finds a new problem or the wrong part, they must tell you straight away.
Test the repair
Use the repaired item like normal. Check it lines up, moves properly, is fixed securely and looks right. If it is a big problem or has failed before, the person in charge must check it, or get a skilled person to, before you close the job.
Get the client to sign
Walk through each repaired item with the client. Write down what is done and any snags left. If the client is not there or will not sign, write that down and follow up. Never mark a job as accepted if the client has not signed.
Close the job
File the inspection, approvals, orders, repair photos and the signed form. Check invoices, payments and supplier credits are sorted. Write down the cause, the result and the closing date. If no work is done, write the real reason, such as quote declined.
