The Kitchen StudioWarranty and
maintenance

Stage 4

Report and decide

The inspector writes down what they find. A person with authority decides what is covered and what it costs.

1

Send the report

Send the inspection report the same day if you can. Tell the right person straight away about anything urgent. Include the job number, what was found, photos, measurements, the likely cause and the work needed.

2

Get the right approval

Ask the original consultant about design or scope. Ask Ashlen, then Jody, about technical questions. Ask management to approve anything in dispute, exceptions, goodwill, credits, or spending above your limit. Write down who approved it, when, and what was agreed.

ResultWhat the client gets
CoveredA written note of what we will do and what happens next. Give a date once parts and fitters are confirmed.
Partly coveredA quote for the part the client pays for. Say clearly what is covered.
Client paysWritten reasons and a quote. The client must agree, and pay if needed, before you start.
More checking, or another trade firstSay what we do not know, who must check or fix it, and what we need first.
Disputed or refusedA written explanation from someone with authority, based on the warranty terms. Say who in management they can speak to.
3

Keep the client updated

Tell the client what you found, what will happen and when you will update them next. If a date will change, tell them before it passes.

4

Get each agreement separately

If the client signs to say we visited, it only means we wrote down what we found. It does not mean they agree to pay, accept the decision or are happy with the repair. Get each one separately.
